Comprehensive Standard 3.4.11
The institution protects the security, confidentiality, and integrity
of its student academic records and maintains special security measures
to protect and back up data.

As stated in Policy Statement 241 [1] ,
“Student educational records, financial records, and financial aid
records (if appropriate) shall be maintained in a secure manner in
compliance with state, federal, and accreditation guidelines. Access to
such records will be governed by the basic provisions as outlined in
the Family Educational Rights and Privacy Act of 1974 (FERPA), also
known as the Buckley Amendment. The custodian of educational records is
the Registrar. The custodian of all financial records, including
financial aid records, is the Vice Chancellor for Finance and
Administrative Services. Working procedures shall be developed and
modified as necessary to maintain compliance with this policy.” LSUA takes all steps necessary to ensure the security,
confidentiality, and integrity of its student academic records. The
student information system resides on an IBM mainframe computer. Access
to that computer is limited to the LSUA network. It is not accessible
from external networks or the Internet. Additional role-based security
exists in the form of logon ID’s and passwords issued by IET
Services. In the Enrollment Services’ Schedule for Retention and
Disposal of Student Records [2] , the
method for backing up electronic records is described. An electronic
backup copy of records in the student information system is stored in
the Enrollment Services vault. A paper ledger of each student’s
transcript is also maintained in the Enrollment Services vault. Student
records such as resignation slips, schedule change slips, admission
documents, etc. are scanned using a Docubase system. A backup
electronic copy of these scanned records is also stored in the
Enrollment Services vault. The original CDs are stored in the IET
Services office.
The university’s policy on the privacy of student records is documented in the LSUA Catalog (p. 47-48) [3] and in the LSUA Student Handbook (p.27-29) [4] .
Confidential student information is not disclosed except by the written
consent of the student or by other acceptable methods defined by the
Family Educational Rights and Privacy Act (FERPA). Directory
information is identified within this policy and may be disclosed
without a student’s written consent. Students who wish to withhold
directory information may complete a Request to Prevent Disclosure of
Information form to prevent even directory information from being
released. The records of students who submit this form are “flagged” in
the student information system to alert faculty and staff of their
desire for directory information to be withheld.
